Resigning calls for a small piece of writing with a specific purpose: telling your own supervisor that you are leaving your current job. This Markdown resignation letter template gives that decision a sentence, followed by the final working date, brief thanks and an offer to explain current work before you leave.

A cover letter concerns an applicant approaching a new employer. Here, the writer already works for the employer and is stating a departure. A group memo or a continuing status report would serve a different purpose too. The letter below stays between the employee and their supervisor.

For the meaning of the file ending, read [what a .md file holds](what-is-a-md-file.md). The empty letter and fictional sample each occupy a single file.

## The resignation letter template

Begin your own letter with the empty text below. Brackets mark names, dates and wording to replace. Write the decision in your own words while keeping its meaning direct.

```markdown
# Resignation letter: [Doe employee name]
[Letter date]
Dear [Doe supervisor name],
I am resigning from my position as [position title] at [Doe employer name]. My final working date will be [final working date].
Thank you for [a brief, specific part of your time with this employer].
Before my final working date, I can [a limited way to help hand over current work].
Sincerely,
[Doe employee name]
```

The employer name identifies the job being left, and the position title makes the opening more specific. The greeting names the supervisor you report to. The employee name at the bottom makes clear whose decision the letter records.

Two dates do separate work here. Above the greeting, the letter date belongs to the writing itself. In the opening paragraph, the final working date belongs to the departure. Replacing one placeholder leaves the other untouched, so give each its own value rather than assuming they are interchangeable.

The gaps around the greeting, each body paragraph and the closing are deliberate. An explanation of [blank lines between Markdown paragraphs](markdown-paragraphs-blank-lines.md) describes that spacing. Keeping those gaps lets the resignation statement, thanks and handover offer remain distinct paragraphs.

## Jane Doe leaves her role at Doe Holdings

This invented departure concerns Jane Doe, an employee of Doe Holdings. She writes to her fictional supervisor, John Doe, about leaving her records assistant role. The dates remain placeholders; the situation and work are invented.

```markdown
# Resignation letter: Jane Doe
[Letter date]
Dear John Doe,
I am resigning from my records assistant position at Doe Holdings. My final working date will be [final working date].
Thank you for the opportunity to work on the records collection and for your guidance as I learned the filing process.
Before my final working date, I can explain the unfinished records work and where the current files are kept.
Sincerely,
Jane Doe
```

Jane Doe's opening states a decision that has already been made. Her second sentence places the final working date beside that decision. She then thanks John Doe for something specific about her time at Doe Holdings, without expanding into an account of everything she did there.

Her offer concerns unfinished records work and the location of current files. It doesn't introduce new duties or extend beyond her final working date. The closing ends with her name after a single closing word.

## Saying that you are resigning

The central sentence is the one that says you are resigning. Wording such as "I have been thinking about leaving" describes an unfinished thought. "I am resigning from my position" states the decision this letter exists to communicate. Choose wording that matches the decision you intend to record.

A reason for leaving is outside this empty letter's scope. Its opening has room for the position, employer and departure date, so the purpose stays visible without a personal explanation. Jane Doe's sample uses that space for her records assistant role and Doe Holdings alone.

Keep the final working date explicit. "My final working date will be [final working date]" labels what the date means. A date placed alone beneath the title would only identify the letter date; it would not say when work ends. Neither placeholder in this example sets a time interval for anyone else.

## Keeping thanks and handover bounded

Brief thanks can refer to a particular opportunity or experience from the job. Her thanks concern the records collection and guidance with filing. That gives her thanks a subject while keeping the paragraph short. Your wording can refer to something from your own time with the employer that you wish to acknowledge.

The handover sentence is an offer about current work. In the sample, explaining unfinished records and locating files describes a limited task. It leaves the letter focused on the departure rather than turning it into a continuing account of assignments.

Choose an offer you intend to make and describe its limit in the same sentence. The phrase "Before my final working date" gives Jane Doe's offer its time boundary. Her wording promises neither a particular result nor continuing help after she leaves.

## A short ending and a descriptive filename

After the handover paragraph, a short closing and the employee's name finish the letter. Jane Doe uses "Sincerely," without another paragraph after it. Adding a new explanation there would reopen a letter whose decision and date are already stated.

The name `jane-doe-resignation-letter.md` pairs the employee with the departure. A file containing the empty text could instead be `resignation-letter-template.md`. The distinction separates reusable wording from Jane Doe's filled example. For joining descriptive words, see [hyphens in Markdown filenames](markdown-file-naming.md).

## Where Sashmark fits

The planned Sashmark desktop app pairs Markdown reading with editing and remains in development. Its audience works with Markdown that AI agents write. The employee supplies the resignation decision and every detail of the letter.
